Terms & Conditions for Organizers

Last updated: 31 October 2026

View current terms

This is a historical version, shown for reference only.

In short: listing your events is free, you stay fully responsible for your events and for your attendees, we provide the technology, process attendee data on your behalf and charge fees only for licensed modules you choose to use.

1. Scope and acceptance

These Terms & Conditions for Organizers ("Terms") govern the use of the DanceMeetup platform (the "Platform") by event organizers, i.e. individuals and legal entities who create an organizer account to list, promote or manage dance events ("Organizer", "you").

The Platform is operated by XWare, s.r.o., Na suchých 320, 252 50 Jesenice u Prahy, Czechia ("DanceMeetup", "we", "us"). By creating an organizer account you confirm that you have read these Terms and agree to them. If you act on behalf of a company, association or other entity, you confirm you are authorised to bind it.

Terms for attendees (dancers) buying passes or registering for events are agreed between the attendee and the Organizer of the particular event and are not covered by this document.

2. Organizer account

You must provide true, accurate and current information when creating your account and keep it up to date. You are responsible for keeping your login credentials confidential and for all activity performed under your account and by users you invite to your organization.

You may invite team members (e.g. reception, managers) to your organization. You are responsible for granting them appropriate permissions and for their compliance with these Terms.

Please notify us without undue delay at info@dancemeetup.com if you suspect any unauthorised use of your account.

3. Our services

The basic service — creating an organizer account and listing your events in the DanceMeetup marketplace — is free of charge.

Additional modules (e.g. online registration and pass sales, online payments, guest management, mailing, WhatsApp and push campaigns, reception and check-in) may be available under a license. The scope, price and platform fees of a license are agreed separately or shown in your administration before you activate it.

We continuously develop the Platform and may add, change or remove features. We will give reasonable notice of changes that materially reduce the functionality of a paid license you are using.

4. Your events and responsibilities

You are the organizer of your events and the sole party responsible for them. DanceMeetup only provides the technology and is not the organizer, promoter or co-organizer of any event listed on the Platform.

  • Event information you publish (dates, venue, programme, artists, prices, conditions) must be accurate, complete and not misleading.
  • You are responsible for delivering the event as advertised and for obtaining all permits, licenses (including music licensing), insurance and approvals required by law.
  • You define and communicate your own registration, cancellation and refund policy to attendees and are responsible for honouring it, including in case of event cancellation or change.
  • You are responsible for fulfilling your tax, accounting and consumer protection obligations towards attendees, including issuing invoices or receipts where required.
  • You handle attendee requests and complaints relating to your event.

5. Payments and fees

If you sell passes online, payments are processed by third-party payment providers (e.g. Stripe or GoPay) under their own terms, which you accept when connecting your account. Funds from attendees are paid out to your payment account by the provider; DanceMeetup does not hold your funds unless explicitly agreed otherwise.

Platform fees under your license may be deducted automatically from each transaction (e.g. as an application fee via Stripe Connect) or invoiced separately, as stated in your license. Payment provider fees are charged by the provider.

You are responsible for refunds, disputes and chargebacks relating to your events, including any related fees charged by the payment provider. Platform fees for completed transactions are non-refundable unless the refund is caused by our error.

Unless stated otherwise, prices of paid services are exclusive of VAT.

6. Content

You keep all rights to texts, images, logos, videos and other content you upload ("Content"). You grant DanceMeetup a non-exclusive, worldwide, royalty-free license to host, display, reproduce and adapt (e.g. resize or crop) your Content for the purpose of operating and promoting the Platform and your events, including in the marketplace, newsletters, mobile applications and social media, for as long as the Content is published and for a reasonable period afterwards.

You confirm you have all rights necessary to publish the Content, including consents of persons depicted in photos and videos and rights of artists and other third parties.

We may remove or hide Content or events that breach these Terms or the law, or that we reasonably believe are fraudulent, without prior notice.

7. Personal data of attendees

For personal data of attendees collected through your registration forms, you act as the data controller and DanceMeetup acts as your data processor. We process such data only on your documented instructions, i.e. to provide the Platform services to you, and with appropriate technical and organisational security measures, in accordance with Art. 28 of the GDPR. These Terms together with our Privacy Policy constitute the data processing agreement between you and us.

You are responsible for having a lawful basis for the processing, for informing attendees (e.g. via your own privacy notice) and for using attendee data only for purposes related to your events. Marketing communication to attendees may only be sent where permitted by law (e.g. with consent or to existing customers with an easy opt-out).

We may use sub-processors (e.g. hosting, email delivery and payment providers) bound by equivalent data protection obligations. Attendee data is deleted or anonymised after termination of your account, unless retention is required by law.

For your own personal data as an Organizer, DanceMeetup is the data controller — see our Privacy Policy.

8. Communication on your behalf

Transactional emails to your attendees (e.g. registration confirmations, payment reminders, passes) are sent from a DanceMeetup sending address under your organization name until you configure and verify your own sending domain. You are responsible for the content of messages you write and send through the Platform and must not use it to send unsolicited commercial communication.

We may send you service and account-related messages. We may also send you news about the Platform; you can unsubscribe from such news at any time.

9. Prohibited use

  • Listing fake, fraudulent or non-existent events, or events you are not authorised to promote.
  • Publishing illegal, discriminatory, offensive or misleading content, or content infringing third-party rights.
  • Sending spam or using attendee data for purposes unrelated to your events.
  • Attempting to access other organizers' data, circumventing security, overloading the Platform or reverse-engineering it.
  • Reselling or sublicensing the Platform without our written consent.

10. Availability

We aim to keep the Platform available at all times, but we do not guarantee uninterrupted or error-free operation. Planned maintenance will be performed, where possible, outside of peak times. You are responsible for keeping your own exports of data critical for your event (e.g. guest lists for check-in).

11. Liability

DanceMeetup is not liable for the organisation, cancellation, quality or safety of events listed on the Platform, nor for disputes between Organizers and attendees.

To the maximum extent permitted by law, our total liability towards you for any damages arising from the use of the Platform is limited to the platform fees paid by you to us in the twelve (12) months preceding the event giving rise to the claim. We are not liable for indirect damages, lost profits or loss of data. This limitation does not apply to damage caused intentionally or by gross negligence.

You agree to indemnify DanceMeetup against claims of third parties (including attendees and authorities) arising from your events, your Content or your breach of these Terms.

12. Termination

You may close your organizer account at any time by contacting us at info@dancemeetup.com. Obligations towards attendees of already sold events remain your responsibility.

We may suspend or close your account if you breach these Terms, if required by law or by a payment provider, or in case of suspected fraud. Where reasonable, we will notify you in advance and give you an opportunity to remedy the breach.

13. Changes to these Terms

We may update these Terms from time to time. We will notify you of material changes by email or in your administration at least 30 days before they take effect. If you do not agree with the changes, you may close your account before they take effect; continued use of the Platform afterwards means you accept the updated Terms.

14. Governing law

These Terms are governed by the laws of the Czech Republic. Disputes will be resolved by the competent courts of the Czech Republic, unless mandatory consumer protection law provides otherwise.

If any provision of these Terms is found invalid, the remaining provisions remain in effect.
